PMO Specialist 60 – 100% (all genders)

As a PMO Specialist, you will play a key role in ensuring transparency, governance, and operational excellence across our global project portfolio. Working closely with project managers, senior leadership, and cross-functional teams, you will provide the insights, tools, and standards that support strategic business decisions.
YOUR MISSION
- Own the operational management of the project and investment portfolio by ensuring accurate, timely, and standardized reporting across all projects.
- Coordinate with project managers to maintain high-quality project data, schedules, risks, financials, and documentation within Jira, Confluence, and other PMO systems.
- Monitor portfolio performance, milestones, KPIs, and project health, proactively identifying deviations and escalating risks to the PMO Lead where appropriate.
- Review business cases and track project costs, benefits, and investment KPIs throughout the complete project lifecycle to support informed management decisions.
- Act as the key user for Jira, Confluence, and Power BI by maintaining dashboards, reporting standards, workflows, templates, and ensuring consistent data governance across all PMO tools.
- Enable and support the global project management community through user training, first-level support, PMO communications, and continuous improvement of PMO standards and best practices.
- Prepare and consolidate executive portfolio reports, KPI dashboards, and quarterly management presentations, providing transparent insights for senior leadership and the CFO.
YOUR PROFILE
- Bachelor’s degree in business administration, Engineering, Finance, or a comparable technical or commercial discipline; additional knowledge in accounting or corporate finance is an advantage.
- Minimum of 2 years of experience in a PMO, project coordination, or project management environment, ideally within an international, matrix-based industrial organization.
- Good understanding of project management methodologies, PMO governance, portfolio management, and reporting processes, including experience with business case evaluation and cost-benefit analysis.
- Advanced user of Power BI, Excel, PowerPoint, Jira, Confluence, MS Teams, and other project management tools, with proven ability to build dashboards, validate data, and create executive-level reports.
- Strong analytical skills with a structured, detail-oriented approach, ensuring data quality, reporting consistency, and continuous improvement of PMO processes and standards.
- Excellent communication and stakeholder management skills with the confidence to collaborate effectively across functions and interact professionally with senior management and C-level stakeholders.
- Self-driven, reliable, collaborative, and solution-oriented, with excellent English skills (C1 or higher) and German language skills at a minimum B2 level.
